Vague specifications – “body bags, heavy duty, black” – produce quotes that cannot be compared. A clear specification protects your institution and makes evaluation fair.

Tips
- Use minimums, not exact figures, unless there is a technical reason – this widens competition.
- Avoid brand names, or add “or equivalent”.
- Separate items by size with individual quantities so prices can be compared.
- Request prices ex VAT and incl. VAT and state the validity period.
- Evaluate samples against the specification before award.
- Follow the applicable procurement rules – PFMA/MFMA, Treasury instructions, preferential procurement and CSD registration requirements for public bodies.
